Roles & Responsibilities - Department


The Office of Research Services (ORS) is a service organization that seeks to provide support of research on behalf of the Stritch School of Medicine. It is our goal to provide our Faculty, Investigators, Administrators, and Staff with a customer focused approach. In order to accomplish this goal we have developed/identified the following roles and responsibilities for managing Sponsored Research Projects:

Principal Investigator

The principal investigator is the primary person in charge of a research grant, cooperative agreement, training or service project, clinical study, contract, other sponsored project or material transfer agreement. A P.I. is a faculty member holding an appointment in a department and/or institute. In some sponsored projects, the P.I. may be referred to as the project or program director.

  • Responsible for the design and implementation of all aspects of the project
  • Prepares, seeks approval and responsible for Oversight Committee Approvals for the use of human subjects, animals, radiation safety and biosafety.
  • Determines the budgetary needs of the project
  • Prepares technical reports, non-competing continuations, interim and final progress reports
  • Adheres to relevant agency, institutional, and school guidelines
  • Reviews and approves electronic Routing Form
  • Discloses Inventions
  • Reviews and adheres to all terms and conditions of award
  • Oversees work-scope and authorizes payments to consultants and subcontractors
  • Authorizes all expenditures and cost transfers

Department Head

A school official with managerial and fiscal responsibilities for a designated area, such as department chair, center director, or institute director.

  • Approves electronic Routing Form
  • Reviews and endorses requests for P.I. eligibility
  • Compliance with regulatory support, equipment, facilities and other resources
  • Provide administrative support, equipment, facilities and other resources

Department Administrators

A Stritch School of Medicine employee, responsible for providing administrative support to one or more sponsored projects. This position may include a wide variety of roles and position titles including, director of administration, account manager, grants & contracts administrator, administrative assistant, pre-award administrator, post award administrator, account assistant, project assistant, secretary, etc.

  • Obtains and reviews proposal guidelines/forms
  • Coordinates and communicates with P.I. to understand relationship between project goals and resources
  • Prepares (assists with) proposal budget and other administrative documents
  • Prepares Electronic Routing Form (with P.I. authorization)
  • Assures institutional review and approval of proposal
  • Assures submission of proposal to sponsor
  • Assists with regulatory compliance (human subjects, animals, biohazards, etc.)
  • When necessary, assists with sponsor inquires & negotiation of award with ORS
  • Assists in establishing accounting unit
  • Assists with recruitment, appointment and effort assignment for personnel
  • Reconciles monthly expenditures
  • Expedites documentation for purchases, subcontracts, and other agreements
