Vacation / Educational Leave

Residents will submit written requests for vacation time and educational leave, at least one month prior to the scheduled leave. The Leave of Absence form should be given to the Resident coordinator who will attach a master calendar for supervisor’s approval. All leaves must be approved by the Chairman. All unscheduled absences from residency duties will be reported directly to the Residency Program Director. This includes unscheduled absences for family or personal emergencies as well as emergency leave for medical indications. The Residency Program Director must be aware of these circumstances immediately in order to ensure proper coverage in your absence.

Resident Vacation / Educational Leave Request Policy
The university and the department believe that it is healthy and wise for all residents to take vacations and encourage all residents to take time away from the Medical Center. All PGY-2 through PGY-5 rotations in the department allow vacation time. PGY-1 residents may only take vacation during Orthopaedic Surgery, Anesthesia, Rehabilitaion, and Emergency Department rotations. According to the Graduate Medical Educational Agreement, each resident is allowed 15 working days of vacation per year.

The Orthopaedic Surgery Resident Vacation/Educational leave policy has been developed to provide an approval process that takes into consideration patient care needs when Residents are on leave. The residency coordinator keeps a log of all leaves. Leaves are considered on a first come first served basis.

When requesting leave, the resident should fill out the request form and submit it to the Manager of Residency Education, at least thirty days in advance.

After appropriate approvals by the chair and the attendings on the service, the Manager of Residency Education will inform the resident via e-mail that their leave is approved.

Residents on rotation at Shriners and Research must submit request for leave 30 days in advance and abide by the resident leave policy of that rotation. Leave for research resident must be approved by the Department Chairman, and the Basic Science Research Director with whom they are working.

  1. At any one time, there can be only one Hines Resident, one PGY 4-5 resident on a Loyola Rotation and One Loyola Junior Resident off for vacation and or Educational Leave. (This excludes residents at Shriners and on research.)
  2. Two Residents on the same service cannot be on leave at the same time.
  3. No vacation leave will be granted during the ORS and AAOS meeting. (Residents attending the meeting will be granted educational leave after filling out the appropriate paperwork.)
  4. No vacation leave will be granted during the AAOS review course. (Residents attending the course will be granted educational leave after filling out the appropriate paperwork.)
  5. No vacation leave will be granted during the University of Chicago Tumor Course. (Residents attending the course will be granted educational leave after filling out the appropriate paperwork.)
  6. No vacation leave will be granted during the last two weeks of June or the first two weeks of July.
  7. Educational or vacation leave will be granted from Hines to a PGY4 or PGY5 only if clinics have been cancelled a minimum of one month in advance.
  8. Requests for more than 5 days in a row are exceptions to the policy.
  9. The department allows a maximum of 5 days of Educational leave annually. Educational leaves of more than 5 days are deducted from the vacation bank.
  10. Requests for approvals of exceptions to this policy should be directed to the Department Chairman.
