AV Equipment User Guide 2005

Refer to the Stritch School of Medicine’s online Room Reservation System site (www.meddean.luc.edu/call/roomres.htm) for the ¨Building User Guide, ¨AV Department User Guide, ¨Room Reservation Request Forms, and Room Information Guide.

HOW DO I REQUEST EQUIPMENT?

  • Requests must be made by e-mail at least two business days prior to the event. An e-mail confirmation will be sent to you.
  • GroupWise address is: ssomavsupport@lumc.edu 
  • Include:
    • Event name and event number (from room reservation confirmation)
    • Assigned room number
    • Date and time
    • Your name, department, and telephone extension
    • List of AV equipment needed
  • Repair cost for damaged equipment and/or furniture will be billed to the user.

WHAT KIND OF EQUIPMENT IS AVAILABLE?

  • Tobin Hall (LH 190), Leischner Hall (LH 390), and Case Method Rooms (CMR 360, CMR 460)
    • Wireless microphone
    • Audio cassette recorder
    • Dual slide projector
    • Video projector
    • VCR
    • 3-D opaque projector (lecture halls only)
    • Computer (CD/DVD drives with USB ports)
    • Overhead projector
    • USB ports
  • Classrooms 150, 160, and 170 
    • Wireless microphone
    • LCD projector
    • VCR
    • Computer (CD/DVD drives with USB ports)
    • Overhead projector
  • Classrooms 431, 432
    • Overhead projector and slide projector
    • TV/VCR
  • Classrooms 345, 375, 445, 475 (student classes only)
    • Overhead projector and slide projector
    • TV/VCR
    • Computer (CD/DVD drives with USB ports)
    • LCD projector
  • Conference Rooms 399 and 499
    • Overhead projector and slide projector
    • Computer (CD/DVD drives with USB ports)
  • SSOM equipment is not available for use in other buildings.

WHAT KIND OF EQUIPMENT IS NOT AVAILABLE?

  • Wireless remotes
  • Laser pointers
  • Easels
  • Laptops
  • Flip charts

WHO OPERATES THE EQUIPMENT?

  • The User is responsible for operating the equipment. 
  • The AV Technician will make sure the requested equipment is in place and in working condition
  • The AV Technician is unable to provide dedicated service to events
  • Availability of AV staff is based upon user priority
  • If the user is not familiar with the equipment, contact the AV Office at least two business days prior to the event to arrange for training
  • For unusual AV setups and weekend or evening events, users may be required to hire a trained AV Technician. In these cases, users will be notified by the AV Office and referred to qualified AV Technicians.

WHAT ABOUT A COMPUTER PRESENTATION?

  • Do not email presentations to the AV Office for loading onto a classroom computer
  • Users are responsible for bringing their presentation on a CD or USB drive and loading it onto the computer
  • Do not load presentations in advance - computers are automatically reset on a regular basis
    Software training and instruction is not provided
  • Arrangements for installation of special software must be made at least one week in advance with Information Systems (6-5207)
  • Standard software: Adobe Acrobat, Microsoft Office, RealPlayer, Windows Media Player, QuickTime, and Internet Explorer

CAN I USE MY LAPTOP

  • THERE IS NO REASON TO USE A LAPTOP because the computers have all the necessary hardware and software to support presentations
  • It is often more difficult to connect a laptop than to use the existing equipment and simply load a presentation from a CD or USB drive
  • Exceptions might include very specialized software presentations and video clips, but check first with the AV Office
  • We cannot guarantee AV Technician support for last minute requests to connect laptop computers
  • Never attempt to connect a laptop on your own

WHAT ABOUT TELECONFERENCING?

  • The Stritch AV Department does not provide teleconferencing support
  • Contact the Health Sciences Library (6-5307), to arrange for support
  • If library staff is available for the event, then user must confirm room availability and use with the appropriate room scheduling office
  • If a classroom is NOT available in the medical school, then contact the Health Sciences Library (6-5307) to locate other teleconferencing sites

HOW DO I CONTACT THE AV DEPARTMENT?

  • To request equipment, you must send an e-mail to ssomavsupport@lumc.edu at least two business days prior to the event
  • For informational purposes only, call 6-5992 and leave a message including your name, extension, event name & number, event date & time, and assigned room number
